How to Record a Teams Meeting on Windows 10 and 11 (2026)
How to record a Teams meeting on Windows, with sound
In this article
To record a Teams meeting on Windows 10 or 11, select More actions, then Record, if your license and the organizer's policy allow it. Otherwise, Windows' Xbox Game Bar (Windows key + Alt + R) or Snipping Tool captures the meeting with sound. For a transcript with no bot, Reline's Windows app records your mic and the meeting audio.
Option 1: the Record button in Teams
Teams records to the cloud, and who can press Record depends on the account. With a work or school account, you need a qualifying Microsoft 365 or Office 365 license, your IT admin must have turned recording on, and the organizer's cloud recording policy must allow it. The organizer and people from the same organization can start and stop a recording, even when the organizer is not in the meeting. Guests, people from another organization and anonymous attendees cannot.
- Join the meeting in the Teams app for Windows or in Teams on the web.
- In the meeting controls, select More actions, then Record.
- Pick the spoken language and what to record (choose Audio only if you do not need video), then select Confirm.
- Everyone in the meeting gets a notice in their Teams app that recording has started.
- To stop, select More actions, then Recording, and stop it. For a standard meeting, the file goes to the organizer's OneDrive and shows up in the meeting chat. Your admin decides when it expires.
Teams Free with a personal account
With a personal Microsoft account, Microsoft offers recording to Microsoft 365 Personal, Family and Premium subscribers. Any participant with one of those subscriptions can open More actions and start the recording; people without one cannot. Everyone is notified, and the recording stays in the meeting chat for 30 days, so download it if you want to keep it.
A work or school Teams recording does not keep everything: Microsoft lists whiteboards and annotations, shared notes and content shared by apps among the things it leaves out.
Option 2: record a Teams meeting with the tools built into Windows
If the Record option is missing, Windows can capture the Teams window itself. Both tools below give you a video file, not a transcript, and neither tells the other people in the meeting.
Xbox Game Bar (Windows 10 and 11)
- Press Windows key + G to open Game Bar, open Settings, go to Capturing and set the audio to All, so all computer sounds are recorded, not only the game.
- Click into the Teams meeting window so it is the app in front.
- Press Windows key + Alt + R to start recording, and Windows key + Alt + M to switch your microphone on or off during the recording.
- Press Windows key + Alt + R again to stop. Microsoft saves the MP4 in the Captures folder inside your Videos folder.
Snipping Tool (Windows 11)
On Windows 11, open Snipping Tool, select Record, then New, drag over the Teams window and select Start; select Stop when you are done. Microsoft added optional PC audio and microphone recording to Snipping Tool in version 11.2307.44.0, so update the app from the Microsoft Store and check that both audio options are on before you start. Microsoft documents video snips for Windows 11 only, so on Windows 10 use Game Bar.
Option 3: record a Teams meeting on Windows without a bot, with Reline
If you want notes rather than a video, record your PC instead of the meeting. Reline's Windows desktop app records your microphone and the system audio (everyone else in the meeting) locally, then gives you a live transcript, an AI summary and the kept audio. Nothing joins the meeting, and you do not need a recording license, the organizer's policy or an account in the organizer's organization, so it also works when you join as a guest.
- Download the Reline Windows app and sign in. You can start on the Free plan.
- Allow the microphone: in Windows 11, open Settings, Privacy & security, Microphone, and turn on "Let desktop apps access your microphone".
- Join your meeting in the Teams app or in Teams on the web, as usual. When Teams starts using your microphone, Reline can show a prompt to start recording.
- Press Record in Reline. The live transcript starts as people talk, in 60+ languages with automatic language detection.
- Stop when the meeting ends. You get the transcript, an AI summary next to it, and the kept audio, with a play button on every transcript line.
Speaker names: with the Teams app for Windows, the transcript is labeled Me vs Other (your microphone vs the meeting audio). Speaker Tags, which is rolling out and not on for every account yet, names who is speaking when it is switched on in Reline, the Reline browser extension is installed in Chrome or Edge, and you join from Teams on the web in that browser (teams.microsoft.com for work or school, teams.live.com for personal accounts).
| Teams' Record button | Game Bar or Snipping Tool | Reline on Windows | |
|---|---|---|---|
| Who can use it | Qualifying license and policy; not guests or other organizations | Anyone on the PC | Anyone in the meeting, guests included |
| Shows in the meeting | Yes, everyone is notified | No notice | No bot and no Teams notice |
| What you get | Recording in the organizer's OneDrive (30 days in chat on Teams Free) | MP4 video file | Audio, transcript and AI summary |
| Transcript | Optional live transcription | No | Yes, live, 60+ languages |
What Reline does not do on Windows
- No video: Reline keeps audio and a transcript, not a screen recording. For video, use Teams' Record button, Game Bar or Snipping Tool.
- It records the whole default output, not one window, so other sounds on your PC are captured too.
- No speaker names from the Teams desktop app: names need Speaker Tags (rolling out) and Teams on the web in Chrome or Edge with the browser extension.
- No on-device AI: transcription, summaries and storage run in the cloud. Only the capture is local.
- You press Record yourself, and there is no mobile app.
Tell people you are recording
Teams' notice only covers its own Record button. Game Bar, Snipping Tool and Reline put no notice in the meeting, so the notice is on you. Several US states, California among them, require every party to agree before a call is recorded, and in the EU you need a lawful basis under the GDPR and should say why you record. Rules differ by country and state, so check the rules where everyone on the call is. The simple habit: say at the start of the meeting that you are recording for notes, and stop if someone objects.
Common questions
- Can I record a Teams meeting on Windows for free?
- Not with Teams' Record button, which needs a qualifying work or school license, or a Microsoft 365 Personal, Family or Premium subscription on Teams Free. Xbox Game Bar and Snipping Tool are built into Windows and free, and Reline has a Free plan for a transcript and summary.
- Why is there no Record option in my Teams meeting?
- Your license may not include recording, your admin or the organizer's policy may block it, or you joined as a guest or from another organization. On Teams Free, only participants with a Microsoft 365 subscription can record.
- How do I record a Teams meeting with audio on Windows 11?
- In Game Bar, set Capturing audio to All before you press Windows key + Alt + R. In Snipping Tool, switch on PC audio and the microphone before you start. Reline records your mic and the meeting audio by default.
- Where do Teams recordings go on Windows?
- Not to a folder on your PC. A Teams recording goes to the organizer's OneDrive and the meeting chat, or stays in the chat for 30 days on Teams Free. Game Bar saves its MP4 in Videos, Captures.
- Does Teams notify others if I record my screen?
- Teams notifies everyone for its own Record button. A screen recorder or Reline on your PC adds no notice in the meeting, so tell the other people yourself.
- Does Reline record Teams video on Windows?
- No. Reline records audio and builds a transcript and AI summary. For video, use Teams' Record button, Game Bar or Snipping Tool.
