Short answer: Teams' Record button works the same on a Mac. In the meeting, select More actions > Record, then Confirm; everyone is notified and the recording goes to OneDrive. If the button is greyed out (guest, policy, no qualifying license) or you want the audio with a transcript, record on your Mac with Reline (reline.so). No bot joins.
The steps below are the same on a MacBook Air, a MacBook Pro, an iMac or a Mac mini, in the Teams app for Mac or in Teams on the web. Two things trip people up on a Mac: Teams' recording rules, which decide whether you can press Record at all, and the Mac's screen recorder, which on macOS 26 and earlier records no call audio.
Option 1: the Record button in Teams for Mac
- Join the meeting in the Teams app for Mac or in Teams on the web.
- In the meeting controls, select More actions > Record.
- Choose the spoken language and what to record (Microsoft also offers audio only), then select Confirm.
- Everyone in the meeting is notified that recording has started.
- When you stop, a work or school recording is saved to the organizer's OneDrive (SharePoint for a channel meeting) and linked in the meeting chat.
Microsoft's guide has no separate Mac steps: the button behaves as it does on Windows. Whether you can use it depends on your account and on the organizer, not on your Mac.
Who can record a Teams meeting
| Account | Who can start a recording | Where it goes |
|---|---|---|
| Work or school (Microsoft 365) | People in the organizer's organization with a qualifying business, enterprise or education license, whose IT admin allows recording, in a meeting whose organizer is allowed to record. Not guests, anonymous users or people from another organization. | The organizer's OneDrive, or SharePoint for a channel meeting. Your admin sets when it expires. |
| Personal (Teams with a personal Microsoft account) | Participants with a Microsoft 365 Personal, Family or Premium subscription. Free users cannot start or stop a recording. | The cloud, where it expires 30 days after it is saved. |
Why the Record button is greyed out on your Mac
Microsoft lists the reasons in its help article on recording problems, and the tooltip on the greyed-out button usually says which one applies:
- You joined as a guest, an anonymous user or from another organization: only people in the organizer's organization can start recording.
- Your organization's meeting or calling policy does not let you record, or a recent policy change has not reached you yet.
- The organizer limited recording to organizers and co-organizers, turned it off for everyone, or did not make you a presenter.
- The organizer turned Copilot off for the meeting, which also turns off recording and transcription.
- On a personal account, you have no Microsoft 365 Personal, Family or Premium subscription.
None of these change on a Mac. Ask the organizer to record and share the file, or to make you a presenter or co-organizer. If that is not possible, the next options record on your own Mac.
Why a Mac screen recording of a Teams meeting has no sound
Apple's guide to recording the screen on a Mac says that in the Screenshot toolbar (Shift-Command-5) you choose a microphone to record your voice or other audio, and that an Include System Audio option exists only in macOS 27 or later. So on macOS 26 and earlier, the other people in the Teams call are on the recording only if your microphone heard them from your speakers; with headphones on, you get your own voice and silence. QuickTime Player's screen recording also takes a microphone only. On macOS 27, Include System Audio gives you a video with sound, but no transcript, no summary and nothing to search.
Option 2: record a Teams meeting on your Mac without a bot
Reline records what your Mac plays (everyone else on the call) and your microphone (you), on your own Mac. Nothing joins the meeting, so it works whether you are the organizer, an attendee or a guest from another company, and whether or not Teams lets you press Record.
- Install the Reline desktop app for Mac and sign in. The Free plan is enough to start.
- Allow the microphone when macOS asks, then allow system audio: on macOS 14.2 and later this is an audio-only permission, in System Settings > Privacy & Security > Screen & System Audio Recording.
- Join the meeting in the Teams app for Mac. When Teams starts using your microphone, Reline shows a small card so you can start recording; you can also start it from the Reline app.
- Wear headphones if you can, so the other voices stay off your microphone and the Me and Other labels stay clean.
- Stop when the meeting ends. You get the live transcript, an AI summary next to it and the kept audio.
| Your macOS | What Reline needs for the call audio |
|---|---|
| macOS 14.2 or later | The system audio permission only (audio, not your screen). One prompt; if you refuse, Reline opens the right System Settings pane. |
| macOS 13 to 14.1 | Screen & System Audio Recording in System Settings. macOS often needs Reline restarted after you switch it on. |
| Before macOS 13 | No system audio capture, so only your microphone is recorded. Update macOS first. |
Teams recording, Mac screen recording or Reline?
| Teams' Record button | Screenshot toolbar (Shift-Command-5) | Reline for Mac | |
|---|---|---|---|
| Who can use it | Depends on license and policy; not guests | Anyone at the Mac | Anyone at the Mac |
| Other people on the call | Yes | macOS 27 or later with Include System Audio; earlier, only what your microphone hears | Yes (system audio) |
| Video and shared screen | Yes | Yes | No |
| Transcript | Separate Teams transcription, also set by policy | No | Yes, live, 60+ languages |
| Notice in the meeting | Yes, everyone is notified | No | No, so tell people yourself |
What you get back, and what Reline does not do
- A live transcript in 60+ languages with automatic language detection.
- Me vs Other speaker labels: your microphone is Me, everything your Mac plays is Other. In the Teams app for Mac everyone else is Other; real names come only from the Reline Chrome extension, with Teams on the web open in a Chrome tab and Speaker Tags turned on.
- An AI summary next to the transcript, plus the kept audio with a play button on every transcript line.
- No video, and no recording on an iPhone or iPad: Reline has desktop apps for Mac, Windows and Linux (beta) and a web app, no mobile app.
- Capture is local and no bot joins, but transcription, AI and storage run in the cloud.
Not on a Mac? The same capture works in the Reline apps for Windows and Linux (beta), and Microsoft no longer supports a Teams desktop app on Linux.
Consent: Teams tells everyone, a recording on your Mac does not
When you press Record in Teams, everyone is notified, and Microsoft adds that depending on your region you may need everyone's permission before recording them. A recording made on your own Mac shows nothing in the meeting: no banner and no extra participant. So telling people is on you: say it at the start or put it in the invite. Some employers also forbid recording internal meetings.
- United States: federal law (18 U.S.C. 2511(2)(d)) allows recording when one party consents, but several states, such as California (Penal Code 632), require every party to agree to record a confidential communication.
- Germany: recording someone's non-public spoken words without permission can be a criminal offence (Section 201 of the Criminal Code), and data protection law (GDPR) can apply to recordings of identifiable people.
- Elsewhere: rules differ by country, and a Teams call often spans several. Check the rules where everyone on the call is. This is not legal advice.

Common questions
- How do I record a Teams meeting on my Mac?
- In the meeting, select More actions > Record, then Confirm, if your account and the organizer's settings allow it. Everyone is notified and the file goes to OneDrive. If you can't, or you want the audio with a transcript, Reline for Mac records the call audio and your microphone without a bot.
- Why can I not record a Teams meeting on my Mac?
- The usual reasons: you joined as a guest or from another organization, your organization's policy does not allow recording, the organizer limited or turned off recording, or Copilot is off for the meeting. On a personal account you need Microsoft 365 Personal, Family or Premium. It works the same as on Windows.
- How do I record a Teams meeting on a Mac with audio?
- Teams' own recording includes the audio. The Mac's Screenshot toolbar (Shift-Command-5) records only a microphone on macOS 26 and earlier; macOS 27 adds Include System Audio. Reline records the call audio and your microphone, with a transcript, from macOS 13 on.
- Can I record a Teams meeting on a MacBook as a guest?
- Not with Teams' Record button: guests, anonymous users and people from another organization can't start a recording. Reline records what your Mac plays, so it works as a guest, but ask the organizer and the others first.
- Where do Teams recordings go on a Mac?
- Not to your Mac. A work or school recording goes to the organizer's OneDrive, or SharePoint for a channel meeting. A personal account's recording stays in the cloud and expires after 30 days. A Reline recording, with its transcript, is kept in your Reline account.
- Does Teams notify others if I record with Reline?
- No. Teams notifies everyone only when someone uses Teams' own recording. Reline adds no participant and shows no notice, so tell people yourself.
