Do Zoom, Meet and Teams Notify When You Record? (2026)

Built-in recording announces itself on every platform. Captions and recorders on your own computer do not. Here is what each one shows, feature by feature.

Yes, for their own features. Zoom, Google Meet and Microsoft Teams tell every participant when built-in recording or transcription starts, and most of their AI note features show an icon or notice. They do not notify anyone when you turn on captions for yourself, and none of them documents a way to detect a screen or audio recorder running on someone’s computer.

That last point is why consent matters most exactly where the platform stays silent. If nothing on screen tells people they are being recorded, the person recording has to.

Does Google Meet notify when you screen record?

Meet’s own recording does. Google says participants get a notification when recording starts or stops, including people outside your organization and people on the phone or the mobile app, who are told but cannot control it. If the host set the meeting to record automatically, people who join see an on-screen warning.

A screen recorder that is not part of Meet does not. Your computer’s screen recording tool, a browser extension or a desktop recording app runs outside the call, and Google documents no way for Meet to see it or to tell anyone.

Transcripts, captions and Gemini notes in Meet

  • Transcripts: when they are on, a Transcripts icon appears at the top right for everyone in the meeting. The transcript is saved to the organizer’s Google Drive.
  • Captions: Google’s help says live captions are turned on only for you. Nobody else is told, and captions are not a saved file.
  • Gemini “Take notes for me”: Meet informs all participants and shows a pencil icon on every screen. If screenshots are on, a message says Gemini may improve your notes with screenshots.
  • Consent prompt: a Workspace admin can require explicit consent for recording, transcripts and notes. People then choose Start, Join, Continue or Leave. Google says this setting is off by default.

Does starting transcription in Teams notify others?

Yes. Microsoft’s help says all participants see a notification that the meeting is being transcribed. The same goes for recording: when it starts, everyone is notified in the Teams desktop, web and mobile apps. By default the organizer and people from the same organization can start either one; guests, people from other organizations and anonymous users cannot.

Admins can go further with the policy “Require participant agreement for recording and transcription”. It is off by default. When it is on and someone starts recording or transcription, everyone else is muted with camera and screen sharing off, and each person has to answer Yes or No before they can unmute, turn on their camera or share. A No gives a view-only seat. Each answer is kept in the attendance report.

Captions and Copilot in Teams

  • Live captions are a personal view. Microsoft says they are visible only to you, Teams does not save them, and caption data is deleted after the meeting.
  • Copilot set to “During and after the meeting” needs transcription, so people see the transcription notice.
  • Copilot set to “Only during the meeting” works without a transcript. Microsoft’s help describes no on-screen notice for other participants in that mode; people who dialled in by phone hear an announcement when Copilot starts or stops using their audio. Prompts and answers may still be kept for compliance.

Teams also now recognises many external notetaker bots. Under the meeting policy that manages external bots, detected bots wait in the lobby until the organizer admits them, which is the default Microsoft describes. Teams Premium adds “Prevent screen captures”, which blacks out the meeting window in screenshots and recordings on supported devices. It hides what you see, but Microsoft does not say it stops audio capture or alerts anyone.

Does Zoom notify when you record?

Zoom says it will always notify participants that a meeting is being recorded. People on the desktop or mobile app get a consent pop-up and click OK to stay or Leave to go. People on the phone hear a voice prompt that cannot be switched off. Accounts with 100 or more licenses can hide the pop-up for internal participants, but guests always get it. Participants also need the host’s permission to use Zoom’s local recording at all.

  • Captions: any participant can turn them on unless the host restricts them; when captions are restricted, your request to turn them on goes to the host. Display settings are only visible to you. Zoom’s caption pages describe no notice to others when you turn them on, and the host can switch captions off for everyone.
  • AI Companion: when meeting summary or meeting questions is active, Zoom says an AI icon lights up at the top right, and hovering over it shows which features are on. Admins can require explicit consent, in which case people join with mic and camera off until they accept the notice.
  • My Notes: everyone sees a banner that the meeting is being transcribed, a transcription icon appears, and the person using it gets a pencil icon in the participant list.

What Zoom does not see: other software. Zoom’s help pages describe notices only for Zoom’s own features. In a 2022 answer on Zoom’s community forum, a Zoom employee wrote that Zoom can only detect recording done with Zoom, not third-party recording software, so no notice goes out when someone records with another tool. That is a forum answer, not official documentation. Zoom’s watermarks help trace a leaked recording afterwards; they do not warn anyone at the time.

What about third-party notetaker bots?

Bots such as Otter, Fireflies or Read.ai join as a participant, so everyone can see them in the list, and many post a chat message saying they are recording. That visibility is the platform’s only notice. On Teams, detected bots may also sit in the lobby until someone admits them. If you would rather keep them out, see our guide to blocking AI notetakers.

Can Zoom, Meet or Teams detect a local recorder?

No. Each platform announces its own features and lists the participants in the call. A screen recording tool, an audio recorder, a bot-free notetaker app on your laptop or a phone on the desk captures what comes out of your speakers, and none of the three platforms documents a way to detect it or announce it.

Captions without a meeting bot

If you searched for captions without a meeting bot: every platform already has them built in. Captions in Zoom, Meet and Teams need no bot, appear only on your screen and notify no one. The catch is that they disappear. Teams does not save captions, and Meet captions are a live view, not a file.

For text you can keep, you have two honest options. Turn on the platform’s transcription, which tells everyone, or use a notetaker that records on your own device, which tells no one, so you tell people yourself.

  1. In the invite: “We record and transcribe this call for notes. Reply if you would rather we didn’t.”
  2. At the start: “Before we begin, I’m recording audio on my computer for notes and a transcript. Is everyone OK with that?”
  3. In the chat, so late joiners see it: “Heads-up: this call is being recorded for notes.”
  4. If someone says no, stop recording and take notes by hand. Ask again next time rather than assuming.

More wording for clients, interviews and internal calls is in our consent scripts guide.

Where Reline fits

Reline is a bot-free notetaker. It records your microphone and your computer’s audio in the desktop app on macOS, Windows and Linux (beta) or in the browser, so nothing joins the call and Zoom, Meet and Teams show no notice. Reline does not announce itself either, so telling people is up to you. The audio is transcribed and summarised in the cloud, not on your device.

FAQ

Common questions

Does Google Meet notify when you screen record?
Only for Meet’s own recording: participants are notified when it starts and stops, and people joining an auto-recorded meeting see a warning. A screen recorder outside Meet, such as your computer’s built-in tool or a recording app, is not detected and triggers no notice, so you should tell people yourself.
Does starting transcription in Teams notify others?
Yes. Microsoft says all participants see a notification that the meeting is being transcribed. If your admin requires participant agreement, everyone is also muted until they answer Yes or No to being recorded and transcribed.
Does Zoom notify participants when you record?
Yes. Zoom says it always notifies participants when a meeting is recorded with Zoom: a consent pop-up in the app and a voice prompt for phone callers. Larger accounts can hide the pop-up for internal users, but guests always see it.
Are other participants notified when I turn on captions?
No. In Google Meet and Teams, captions you turn on are shown only to you, and Zoom describes no notice to others either. Teams does not save captions. If you need text you can keep, use transcription, which notifies everyone.
Can the host tell if I record the meeting with another app?
No. Zoom, Google Meet and Teams document no way to detect other apps on your computer, so a screen recorder or a bot-free notetaker triggers no notice. That is exactly why you have to ask for consent yourself where the law or your company requires it.
Do Gemini, Copilot and Zoom AI Companion notify participants?
Gemini “Take notes for me” informs everyone and shows a pencil icon. Zoom AI Companion lights up an AI icon at the top right. Teams Copilot with transcription shows the transcription notice; in Copilot-only mode, Microsoft describes no on-screen notice, and only phone callers hear an announcement.
