You can't start a Teams recording as a guest: Microsoft blocks guests, people from other organizations and anonymous attendees. Ask the organizer, or someone in their organization, to record and share the file with you. If they agree to notes instead, Reline records your mic and the call audio on your computer, and no bot joins.

Why guests cannot press Record in Teams

Microsoft's rule is direct: to start or stop a recording you must not be a guest or from another organization, and its help page adds that "Guests can't record meetings." It lists that rule next to the license, IT admin and cloud recording policy requirements, so meeting those does not help a guest. An organizer's OK is not listed as an exception either: the one exception Microsoft's recording pages name is third-party compliance recording, a system run by the admins of the external person's own organization, not a button you can press.

To see which case you are in, hover over the lock icon on the record option. If the tooltip says "Only people in this org can start recording", you are anonymous or from a different organization than the organizer. Microsoft gives two fixes for that message: sign in with an authenticated account, or ask a participant from the organizer's organization to start the recording and share it after the meeting. Its other tips, such as becoming a presenter or co-organizer, answer different messages.

Ask the organizer: the way to get the real recording

This is the only route that gives you the video and shared screens with a notice everyone can see. The organizer does not even have to attend: anyone from their organization whose license, policy and meeting options allow it can start the recording.

  1. Ask before the meeting, by email or in the chat. Say what you want the recording for and who will see it.
  2. The organizer or a colleague selects More actions, then Record, when the meeting starts. Everyone gets a notice in their Teams app.
  3. For a standard meeting, the file goes to the organizer's OneDrive. Invitees inside the organization get a link automatically. External participants do not: the organizer or a co-organizer has to add you to the file's shared list.
  4. Open it soon after the meeting, because the admin on their side decides when recordings expire.

What the organizer's settings control

Several settings decide whether a meeting can be recorded at all. None of them gives a guest the record option, but they show what the organizer or their company wants:

  • Meeting recording: an admin turns this meeting policy on or off, and both the organizer and the person who starts the recording need it.
  • "Who can record and transcribe": in meeting options, an organizer with Teams Premium or a Copilot license can limit recording to organizers and co-organizers, or set it to No one.
  • "Allow Copilot": when the organizer sets it to Off, recording and transcription turn off too.
  • Explicit consent: an admin can require participants to agree before they are recorded or transcribed.
  • "Prevent screen captures": an organizer with Teams Premium can turn this on. In the Teams app for Windows, screenshots show a black rectangle around the meeting window and most third-party capture apps are blocked; people in the Teams app for Mac or on the web get audio only.

If recording is set to No one, or screen captures are blocked, read that as the organizer's answer. Ask before you record anything, with any tool.

What a guest can capture on Windows and Mac

The tools built into your computer do not check who may press Record in Teams, but they have limits of their own, and they put no notice in the meeting. Use them only once everyone has agreed.

ToolWhat it recordsThe limit in a Teams meeting
Xbox Game Bar (Windows 10 and 11)Video of the app in front, all computer sounds if you set Capturing audio to All, and your micAn MP4 with no transcript
Snipping Tool (Windows 11)Video of the area you select, with optional PC audio and micMicrosoft documents it for Windows 11 only; no transcript

Record your side and the call audio with Reline, with no bot

If the organizer agrees to notes rather than a Teams recording, Reline's desktop app for Windows or Mac records your microphone (you) and the system audio (everyone else) on your own computer, then gives you a live transcript, an AI summary and the kept audio. Nothing joins the meeting, and you do not need a recording license or an account in the organizer's organization. A notetaker bot usually needs the organizer's side too: by default, Teams keeps the bots it detects in the lobby until someone admits them.

  1. Get the organizer's OK first, using the message above or your own words.
  2. Install the Reline app for Windows or Mac and sign in. You can start on the Free plan.
  3. Allow the microphone. In Windows 11, open Settings, Privacy & security, Microphone, and turn on "Let desktop apps access your microphone". On a Mac, allow the microphone when macOS asks, then allow system audio: on macOS 14.2 and later this is an audio-only permission.
  4. Join the meeting as you normally do, in the Teams app or in your browser. When the meeting starts using your microphone, Reline can show a prompt; if it does not, start from the Reline app.
  5. Say at the start that you are recording for notes, then press Record in Reline. The live transcript starts as people talk, in 60+ languages with automatic language detection.
  6. Stop when the meeting ends. You get the transcript, an AI summary next to it, and the kept audio, with a play button on every transcript line.

Speaker names: the transcript is labeled Me vs Other (your microphone vs the meeting audio), and Reline does not read names from Teams. In a group meeting, open Who is on the other side beside the record button and choose Separate speakers (beta): Reline numbers each voice on the meeting side (an estimate), and you click a voice to name it yourself.

What Reline does not do here

  • It does not replace the organizer's OK. Reline cannot check whether you asked, so that part is on you.
  • No video or shared screens: audio and a transcript only. If you need the slides, ask for the Teams recording.
  • On Windows it records the whole default output, not one window, so other sounds on your PC are captured too.
  • On a Mac, the call audio needs macOS 13 or later. Before that, only your microphone is recorded.
  • No speaker names from Teams: the beta Separate speakers option only numbers voices for you to name.
  • No on-device AI: transcription, summaries and storage run in the cloud. Only the capture is local.
  • You press Record yourself, and there is no mobile app. Reline has desktop apps for Mac, Windows and Linux (beta).

You are in someone else's meeting, often with their clients, colleagues or confidential plans on the call, and their company may have its own rules on recording. Teams' notice only covers its own Record button. Game Bar, Snipping Tool, the Mac's Screenshot toolbar and Reline put no notice in the meeting, so the notice is on you. That Reline works without any setting on the organizer's side is a technical fact, not permission to use it.

Microsoft itself warns that, depending on your region, you may need everyone's permission before recording them. Several US states, California among them, require every party to agree before a call is recorded, and in the EU you need a lawful basis under the GDPR and should say why you record. Rules differ by country and state, so check the rules where everyone on the call is. The simple habit: say at the start of the meeting that you are recording for notes, and stop if someone objects.

FAQ

Common questions

Can I record a Teams meeting as a guest?
Not with Teams' own recording: guests, people from another organization and anonymous attendees cannot start one. Ask the organizer or a colleague of theirs to record and share it. If they agree, a local recorder such as Reline can capture the audio and a transcript on your computer.
Why does Teams say only people in this org can start recording?
You joined anonymously, or your account belongs to a different organization than the organizer. If you belong to the organizer's organization, sign in with that account. If not, ask a participant from that organization to start the recording and share it after the meeting.
Can the organizer allow a guest to record?
Microsoft's recording pages say guests can't record and list no organizer setting that changes it. The tips about becoming a presenter or co-organizer answer other messages. The organizer can record the meeting and then add you to the file's shared list.
How do I get the recording if I joined as a guest?
Ask the organizer. External participants do not get the link automatically: the organizer has to add you to the recording's shared list. Microsoft says guests and external attendees can view a recording only if it is explicitly shared with them.
Will people know if I record a Teams meeting as a guest?
Teams notifies everyone only for its own recording. A screen recorder or Reline on your computer shows no notice in the meeting, so ask the organizer beforehand and tell people at the start.
Does Reline record the video of a Teams meeting?
No. Reline records your microphone and the call audio, then builds a transcript and an AI summary, with no bot in the meeting. For video and shared screens, ask the organizer for the Teams recording.
