How to Record a Webex Meeting on Windows 10 and 11 (2026)
How to record a Webex meeting on Windows
In this article
To record a Webex meeting on Windows, the host (or a cohost when the host is away) clicks Record and saves an MP4 to the computer or, on a paid plan, to the cloud. Attendees must ask the host. Without host rights, Reline's Windows app records your mic and Webex audio locally, with no bot; transcription runs in the cloud.
Who can record a Webex meeting on Windows?
Webex ties recording to your role and your plan, not to your operating system. Its help center says the host records, a cohost takes over the host role (and the Record button) when the host is not in the meeting, and invited attendees should ask the host. Recording to the cloud needs a paid Webex plan. Recording on your computer is available on the Free, Starter, Plus and Business plans, and on Enterprise it is whatever your site administrator configured. If the Record button is missing or greyed out, Webex's advice is that recording may not be enabled, so ask your administrator.
| Your role | Webex Record button | Reline on Windows |
|---|---|---|
| Host | Yes: computer, or cloud on a paid plan | Yes |
| Cohost | Yes, as stand-in host (cloud needs a paid plan) | Yes |
| Attendee or guest | No, Webex says to ask the host | Yes, audio and transcript |
Option 1: Webex's Record button on Windows
- Join from the Webex desktop app for Windows. On the Free plan, Webex says recording works only from the desktop app.
- Use Computer audio for the meeting. Webex notes this audio option is needed to capture sound in a recording on your computer.
- Click Record and choose the option for your computer, or the cloud option if your paid plan allows it. Then click Record again.
- Use Pause and Resume to keep one file, and Stop when you are done. A recording indicator shows at the top right of the Webex window.
- Find the file. Recordings on your computer are saved as MP4. Webex help gives the Documents folder as the Windows default and advises against saving to a network location; on the Webex Suite meeting platform you choose the folder, or it goes to Downloads. Cloud recordings go to your Webex site, and the host gets an email when one is ready, which can take up to 24 hours.
A recording on your computer leaves out the chat and participants panels, transcripts and files shared in the meeting. Webex also states that everyone in the meeting needs to consent before it is recorded, summarized or transcribed.
Option 2: record Webex with the tools built into Windows
If you cannot use the Record button, Windows can capture the Webex window itself. Both tools below give you a video file, not a transcript, and neither shows a recording indicator in Webex.
Xbox Game Bar (Windows 10 and 11)
- Press Windows key + G to open Game Bar, open Settings, go to Capturing and set the audio to All, so all computer sounds are recorded, not only the game.
- Click into the Webex meeting window so it is the app in front.
- Press Windows key + Alt + R to start recording, and Windows key + Alt + M to switch your microphone on or off during the recording.
- Press Windows key + Alt + R again to stop. Microsoft saves the MP4 in the Captures folder inside your Videos folder.
Snipping Tool (Windows 11)
On Windows 11, open Snipping Tool, select Record, then New, drag over the Webex window and select Start; select Stop when you are done. Microsoft added optional PC audio and microphone recording to Snipping Tool in version 11.2307.44.0, so update the app from the Microsoft Store and check that both audio options are on before you start. Microsoft documents video snips for Windows 11 only, so on Windows 10 use Game Bar.
Option 3: record Webex on Windows without host rights, with Reline
If you are an attendee, your company disabled recording, or you only want notes, record your PC instead of the meeting. Reline's Windows desktop app records two local streams: your microphone and the system audio, which is everyone else on the Webex call. Nothing joins the meeting, so it works the same in the Webex app or in a browser tab, and you need no host role and no paid Webex plan.
- Download the Reline Windows app and sign in. You can start on the Free plan.
- Allow the microphone: in Windows 11, open Settings, Privacy & security, Microphone, and turn on "Let desktop apps access your microphone".
- Join the Webex meeting as usual, in the Webex desktop app or a browser tab. When the Webex app starts using your microphone, Reline can show a prompt to start recording.
- Press Record in Reline. The live transcript starts as people talk, in 60+ languages with automatic language detection.
- Stop when the meeting ends. You get the transcript, an AI summary next to it, and the kept audio, with a play button on every transcript line.
| Webex's Record button | Game Bar or Snipping Tool | Reline on Windows | |
|---|---|---|---|
| Who can use it | Host, or a cohost when the host is away | Anyone on the PC | Anyone in the meeting, attendees included |
| Shows in the meeting | Yes, a recording indicator in Webex | No indicator | No bot and no Webex indicator |
| What you get | MP4 on your PC or on your Webex site | MP4 video file | Audio, transcript and AI summary |
| Transcript | Not in a recording on your computer | No | Yes, live, 60+ languages |
What Reline does not do on Windows
- No video: Reline keeps audio and a transcript, not a screen recording. For video, use Webex's Record button, Game Bar or Snipping Tool.
- It records the whole default output, not one window, so other sounds on your PC are captured too.
- Speakers are labeled Me vs Other (your microphone vs the call audio). Reline does not read Webex participant names.
- No on-device AI: transcription, summaries and storage run in the cloud. Only the capture is local.
- It does not replace the Webex cloud recording your team may need for compliance or for people who missed the call.
Tell people you are recording
Webex shows its recording indicator only for its own Record button. Game Bar, Snipping Tool and Reline put no indicator in the meeting, so telling people is on you. Several US states, California among them, require every party to agree before a call is recorded, and in the EU you need a lawful basis under the GDPR and should say why you record. Rules differ by country and state, so check the rules where everyone on the call is. The simple habit: say at the start of the meeting that you are recording for notes, and stop if someone objects.
Common questions
- Can I record a Webex meeting on Windows if I am not the host?
- Not with Webex's Record button: the host records, or a cohost when the host is away, and attendees are told to ask the host. A local recorder such as Reline for Windows records your mic and the call audio on your own PC. Tell the others first.
- Where are Webex recordings saved on Windows?
- Recordings on your computer are MP4 files in the Documents folder by default. On the Webex Suite meeting platform you choose the folder, or they go to Downloads. Cloud recordings are stored on your Webex site, and the host gets an email when one is ready.
- Can I record a Webex meeting on Windows for free?
- Yes, on your computer only: Webex lists cloud recording as not available on the Free plan, and free users can record only from the desktop app. Game Bar and Snipping Tool are free in Windows, and Reline has a Free plan for a transcript and summary.
- Why is the Record button missing in Webex?
- You may not be the host or a cohost standing in for the host, or your site administrator has not enabled recording. On Enterprise plans, the administrator decides whether you can record to the cloud or the computer.
- How do I record a Webex meeting with audio on Windows 11?
- With the Webex Record button, use Computer audio for the meeting. In Game Bar, set Capturing audio to All before you press Windows key + Alt + R. In Snipping Tool, switch on PC audio and the microphone. Reline records your mic and the meeting audio by default.
- Does Webex notify people when Reline records?
- No. Reline does not join the meeting, so Webex shows no recording indicator. That is why you should say you are recording at the start of the call.
