The details

  • 01Zoom documents the flow exactly. If an app has not been approved on the account, users can only request it, each request emails the administrators, and they approve or decline it either for everyone or just for the person who asked.
  • 02Google Workspace works the same way. Access for an unconfigured third party app is blocked by default, and a user request lands in a list in the Admin console where an administrator can allow it, dismiss it or block the app outright.
  • 03For a bot that is often two approvals, not one: the marketplace install, and calendar access as well, because something has to read your calendar to know which meeting to join and when.
  • 04Reline records the audio your computer plays plus your microphone, so there is no marketplace listing to approve and no meeting platform permission to grant. What it does need is your operating system's screen recording and microphone permissions, granted on your own machine, and a managed device policy can still withhold those.
  • 05The honest catch: calendar sync is optional but it does use Google or Microsoft sign in, so the same admin controls can block that piece. Recording, transcription and summaries work without it. Whatever the approval path, tell the people in the meeting that you are recording.
