The Notta bot joins a meeting because someone’s Notta account sent it, usually through calendar auto-join, sometimes through Zoom auto-join or a pasted link. To remove it now, the host takes “Notta Bot” out of the participant list. To stop it next time, its owner turns off auto-join in Notta or disconnects the calendar.
Why does the Notta bot join meetings?
Notta Bot records Zoom, Google Meet, Microsoft Teams and Webex calls by joining as a participant; Notta’s own comparison says the bot “appears in the participant list”. It never finds a meeting by itself. A Notta user sends it, in one of five ways:
| How the bot was sent | What triggers it | Where it is switched off |
|---|---|---|
| Calendar auto-join | A Google Calendar or Outlook Calendar is connected and “Automatically record online meetings from calendar events” is on. Works whether the user is host or guest. | Upcoming events > gear icon > Auto-actions |
| A single event switched on | The Auto-join toggle on one event in Upcoming events, which can differ from the bulk setting | The same toggle in Upcoming events |
| Chrome extension on Google Calendar | The Notta toggle at the bottom of a Google Calendar event | Edit the event (pencil icon) and switch Notta off |
| Zoom auto-join (Pro, Business, Enterprise) | “Automatically record Zoom meetings” is on, so the bot tries to join every Zoom meeting the user starts as host, calendar event or not | Profile image > Settings > Meeting Bot |
| Manual invitation | A meeting link pasted into Record online meeting (web) or + > Online meetings (mobile), or the Start Recording button the extension adds to Google Meet | Nothing to switch off; the user simply stops doing it |
Calendar auto-join has filters that explain why the bot attends some meetings and not others: which platforms count (Zoom, Google Meet, Teams, Webex, at least one), which meeting types (“All events”, “Internal meetings only” or “External meetings only”, judged by invitees’ email domains), plus an Auto-join Whitelist and Blacklist of title keywords. Notta syncs events for the next two weeks and skips all-day and multi-day events.
First, find out whose Notta bot it is
Unlike Otter, Notta does not put the owner’s name on the bot by default: it usually appears as “Notta Bot”. Users on paid plans can rename it in Zoom, Teams and Webex (Notta says Google Meet may still show “Notta Bot”), so a bot with an unfamiliar name can be Notta too. Other clues are Notta’s recording notification poster and an optional chat message that the user is using Notta AI. The fastest route is to ask in the chat who invited it.
| What you see | Most likely cause | Fix |
|---|---|---|
| Notta Bot in meetings you organize, and you use Notta | Your calendar auto-join or Zoom auto-join is on | Turn them off (steps below) |
| Notta Bot, and you do not use Notta | An attendee’s account auto-joins events they are invited to | Remove it now; ask them to switch that event off |
| Two Notta bots in one call | Attendees from two different Notta workspaces; Notta sends at most one bot per workspace | Remove both; each owner switches the event off |
| Still joining after you turned off calendar auto-join | An event switched on individually, the Chrome extension toggle, or Zoom auto-join | Check Upcoming events, the calendar event and Settings > Meeting Bot |
| Joins Zoom meetings you host that are not in your calendar | “Automatically record Zoom meetings” is on | Turn it off under Settings > Meeting Bot |
How to stop your own Notta bot from joining
If the bot is yours, this takes a couple of minutes and deletes nothing. On Notta Web:
- Sign in and open Upcoming events.
- Click the gear icon in the top right to open the Notta Bot and Auto-join settings.
- Under Auto-actions, turn off “Automatically record online meetings from calendar events”. To keep the bot for some meetings, narrow it instead: fewer platforms, “Internal meetings only” or “External meetings only”, or title keywords in the Auto-join Blacklist.
- Click “Check bot’s scheduled events” (bottom right of the settings screen) to see which events still qualify.
- Back in Upcoming events, go through the next two weeks and switch off the Auto-join toggle on any event you turned on by hand.
Zoom meetings you host
If you connected Zoom under Integrations & Apps, open Profile image > Settings > Meeting Bot and turn off “Automatically record Zoom meetings”. This setting is separate from the calendar: it sends the bot to Zoom meetings you start as host even when they are not in your calendar. Disconnecting Zoom under Integrations & Apps also ends it.
If you use the Notta Chrome extension
The extension adds a Notta auto-join toggle to Google Calendar events. For an event that already exists, click the pencil icon to edit it and switch Notta off. If you no longer use the extension, removing it from Chrome is a tidy follow-up.
How to disconnect Notta from your calendar
Turning off auto-join keeps the calendar connected so you can still invite the bot on purpose. To cut the link completely:
- On Notta Web, click Integrations & Apps in the lower-left corner of the sidebar.
- Find Google Calendar or Outlook Calendar in the list.
- Click Disconnect, then Disconnect again in the pop-up. Notta confirms with “Integration has been disconnected”.
In the mobile app the path is Settings (lower right) > Integrations > Disconnect. You can also revoke Notta’s access from the calendar side, the same steps Notta gives for rebuilding a connection:
- Google Calendar: open myaccount.google.com/connections with the account that owns the calendar, select Notta.ai and choose “Delete all connections you have with Notta.ai”.
- Outlook Calendar: in your Microsoft account, open Privacy > “Apps and services that can access your data”, find Notta, click Edit, then “Remove these permissions”. For a work Microsoft 365 account, IT can also review Notta under Enterprise applications in Microsoft Entra.
- Disconnecting is about the calendar link only. Deleting recordings is a separate action inside Notta.
How to remove someone else’s Notta bot from your meeting
You cannot change another person’s Notta settings, but the meeting is yours to control:
- Remove “Notta Bot” from the participant list, as host or as anyone the platform allows to remove participants. Notta’s own guide gives this as the way to stop the bot mid-meeting in Zoom, Google Meet, Teams and Webex.
- If the bot is waiting in the waiting room or lobby, do not admit it. Notta says a bot that is not admitted within 5 minutes is removed automatically.
- In Zoom, decline the bot’s recording-permission request. Notta’s bot settings also include a “Require Host Approval” switch for Zoom that its users can turn off, and Notta’s help pages differ on what that skips, so treat this prompt as one layer, not a guarantee.
- Then fix the next occurrence: ask the person who sent it to switch that event off in Upcoming events, or to narrow their auto-join settings. Removing the bot only clears today’s meeting.
Notta Bot also leaves on its own when no other participants remain or when the 5-hour recording maximum is reached.
As the host in Zoom, Google Meet, Teams or Webex
Notta’s help center lists what its bot needs to get in, which doubles as a list of what keeps it out. Setting names are quoted from each platform’s English interface:
| Platform | What Notta says its bot needs | Setting that holds it back |
|---|---|---|
| Zoom | Admission from the waiting room, the host’s recording permission, and computer recording allowed for external participants; webinars are not supported | “Waiting Room” on; do not grant recording permission; restrict local recording for external participants |
| Google Meet | An Admit click, except when meeting access is set to Open | Meeting access “Trusted” or “Restricted”, with “Host management” on |
| Microsoft Teams | Admission from the lobby; meetings that require user authentication are not supported | “Who can bypass the lobby?”: “People in my org” |
| Webex | Admission from the lobby; only meeting links with a passcode are supported | Lobby on; do not admit the bot |

For IT admins: control Notta across your organization
If your company has a Notta Enterprise workspace, the owner can switch off integrations for everyone: Profile image > Settings > Security > Feature Restrictions, turn on “Disable third party integrations”, tick the calendar services and click Disable Integrations. Notta says disabling the calendar integration stops the meeting bot from auto-joining through calendar events for all members. A pasted meeting link is a separate path, so pair this with the meeting-side settings above.
Two workspace behaviours are worth knowing. When several members of one workspace have auto-join on for the same event, only one bot joins and one transcript is created; the event creator owns it if they have auto-join on, otherwise the member invited first, and every member with auto-join on can view, edit and share it. Members of a second workspace send a second bot.
If your company does not use Notta, you cannot reach individual Notta accounts. Restricting third-party apps in the Zoom App Marketplace, Google Workspace or Microsoft Entra keeps your own staff from connecting Notta, but a bot sent by an outside guest still arrives as a guest, so organization-wide waiting-room and lobby defaults do most of the work.
How to delete your Notta account
Deletion is permanent and Notta says the data cannot be recovered, so export what you need first. Notta lists four conditions: any paid plan has fully expired, the subscription is cancelled (on Notta Web for card payments, in the App Store or Google Play for app purchases, through your sales contact for invoices), smart devices are unbound, and SSO is disabled. Then:
- On Notta Web, go to your private workspace and click your profile image > Settings > Delete account.
- Verify the account information and enter an email address for the notification, then Continue.
- Read the notes, tick the confirmation box and click Continue, pick a reason and click Submit, then click Delete to confirm.
In the mobile app the path is Mine > My Account > Delete account. Deleting the app alone does not delete the account or cancel the subscription.
If you want notes without a bot in the meeting
Notta has its own answer: Notta Desktop records your microphone and system audio on your computer, with no bot in the participant list. Notta says it is available on all plans, needs macOS 13 or later for system audio (macOS 11 and 12 record the microphone only) or Windows 10 or later. Notta also notes that other attendees have no indication the meeting is being transcribed, which makes telling them your job.
Reline works the same way at the capture step. It records your microphone and the meeting audio on your own device, from the desktop app on Mac, Windows and Linux (beta) or in the browser, and nothing joins the call. Transcription, AI summaries and storage happen in the cloud. When you ask Reline’s chat about a meeting, the answer quotes the moment it came from and you can play that clip in place.
To be fair to Notta: if you like the rest of the product, Notta Desktop removes the bot without switching tools. Neither tool removes a bot someone else sends; only the steps above do that.

Common questions
- Why is the Notta bot joining my meetings when I don’t use Notta?
- Because an attendee does. Their Notta account is connected to a calendar that has your meeting on it, with auto-join on, so Notta Bot joins as a participant. The host can remove it from the participant list or leave it unadmitted in the waiting room or lobby. To stop it next time, the person who sent it has to switch that event off in Notta.
- How do I remove the Notta bot from a meeting?
- Remove “Notta Bot” from the participant list in Zoom, Google Meet, Teams or Webex; Notta’s own guide gives this as the way to stop it mid-meeting. Notta documents no chat command for this. If you sent the bot yourself, you can also click End recording in Notta. The bot also leaves when everyone else has left or after 5 hours.
- How do I turn off Notta auto-join?
- On Notta Web, open Upcoming events, click the gear icon and turn off “Automatically record online meetings from calendar events”. Then switch off any events you turned on individually in Upcoming events. If you connected Zoom, also turn off “Automatically record Zoom meetings” under Profile image > Settings > Meeting Bot.
- Can the Notta bot join without the host’s permission?
- Often it has to wait. Notta says the bot needs the host to admit it when a waiting room or lobby is on, and that a bot not admitted within 5 minutes is removed. In Google Meet it gets in without a click only when meeting access is Open. In Zoom the host usually gets a recording-permission request, although Notta lists a “Require Host Approval” setting for Zoom.
- Can Notta record a meeting without a bot?
- Yes. Notta Desktop records your microphone and system audio on your computer, with no bot in the participant list. Notta says it is available on all plans and needs macOS 13 or later or Windows 10 or later for system audio. Because other attendees see nothing, Notta reminds users that getting consent is their responsibility.
- Will deleting the Notta app stop the bot?
- No. The bot is sent by your Notta account and its calendar or Zoom connection, not by the app on your phone. Notta says deleting the app does not delete the account or cancel the subscription. Turn off auto-join, disconnect the calendar under Integrations & Apps, or delete the account from Settings.
