The best AI note taker for HR passes the checks Littler lists for employers, among them consent, accuracy, retention and confidentiality. Fellow Enterprise auto-deletes on a schedule, Appraisd keeps review recordings to the people on the review, and Reline (we make it) is private by default with no bot, but has no auto-delete. Some HR meetings should not be recorded.

Which AI note taker should an HR team pick?

  • You run performance reviews in Appraisd: its AI Notetaker, which keeps recordings to the people on the review.
  • An admin must set deletion for everyone: Fellow, Fireflies or Otter on their Enterprise plans.
  • You want no stored audio at all: Granola, which deletes audio after transcription on every plan.
  • You hold in-person employee relations meetings on an iPhone: Speakwise.
  • Your security review asks for a SOC 2 report: Otter, Fireflies, Fellow and Granola state one. Reline has none.
  • A small HR team that wants the audio to check a quote, with notes private by default, at $15 a seat: Reline.

Hiring interviews are a different job, with ATS hand-offs and candidate notices, and they have their own page.

What does Littler tell employers to check?

In February 2026 the employment law firm Littler published seven points for employers weighing AI transcription and note-taking tools: consent to record, biometrics, accuracy, discrimination and AI-specific laws, attorney-client privilege, retention, and confidentiality and security. The one HR roundup we found, Speakwise's, ranks its own app first and gives no retention period or storage location for any tool. So we turned the five points that your choice of tool changes into questions:

  1. Consent: does anything in the meeting tell people it is being recorded?
  2. Biometrics: does the tool keep a voice profile to tell speakers apart?
  3. Accuracy: can you replay the audio behind a line before you rely on it?
  4. Retention: can an admin set deletion for everyone, and what does it delete?
  5. Confidentiality: who can open a recording by default, is access logged, and does your data train AI?

Privilege and discrimination depend more on how you use any tool, so they shape the list of meetings not to record, further down.

How do the 7 tools compare?

Littler starts with wiretap laws. It counts about a dozen US states that require every party to agree to a recording, and notes the count differs for calls and for talks in person. In the EU you need a lawful basis under the GDPR and should say why you record. Rules differ by country and state, so check the rules where everyone in the meeting is. This is not legal advice.

A visible bot does part of the notice work: Fellow's Note Taker posts a chat message naming who added it and saying it is recording. Fellow says its bot-free mode still lets internal participants know, while external guests see no bot and hear no introduction. With no bot, Reline puts no notice in the meeting, so the notice is on you: tell the employee in writing before the meeting, ask again at the start, and stop recording if they say no. Reline publishes a participant notice page you can link to, at reline.so/participants.

In Germany, the works council has a say in introducing technical systems designed to monitor employees' behaviour or performance (Section 87(1) No. 6 of the Works Constitution Act). Ask counsel whether your note taker falls under it before you roll it out.

Accuracy: can you check what was said?

Littler warns that these tools can misread jargon, acronyms, accents and some voices, that people should check a record before relying on it, and that systematic errors in performance or discipline decisions could disadvantage protected groups. The audio is how you check. Granola deletes audio after transcription and Fireflies' Take Notes mode saves none, so a disputed line has nothing behind it. Otter, Fellow's bot-free mode and Reline keep audio you can replay. In Reline, press play on the transcript line before you quote it in a review.

Biometrics: does the tool keep a voice profile?

Littler notes that features that tell speakers apart by voice may create biometric data, with consent rules in Colorado, Illinois and Texas and notice rules in California, Colorado and Illinois, and it calls Illinois's BIPA especially risky. Fellow's security page says voiceprints are processed by Fellow in its own data center. Reline labels lines Me vs Other by which side the sound arrives on, your microphone or the call audio, plus beta voice numbering you name yourself. Ask every vendor, us included, what its speaker features store, and ask counsel what that means where you are.

Retention: how long should HR keep meeting notes?

Littler does the arithmetic: an hour-long meeting makes about 16 single-spaced pages of transcript, and that volume weighs on discovery and on access requests. It suggests a short retention period, with automatic deletion where the tool allows, unless your schedule for related records requires longer.

This is the weakest row for Reline. It has no auto-delete schedule, so the period is a rule your team follows by hand. Keep one private folder per employee matter: permanently deleting the folder removes everything in it, and Delete permanently in the trash removes a note, its recordings and its transcript at once. There is no way to delete only the audio and keep the transcript. If deletion must run without anyone remembering it, pick Fellow, Fireflies or Otter on Enterprise, or Appraisd for reviews.

Confidentiality: who can open an HR recording?

Littler lists discipline discussions among the confidential content these tools pick up, and suggests asking vendors about security, data ownership, deletion and whether your data may train AI. On access, Appraisd is the clearest: only the employee, their manager and added reviewers can open a review recording, and HR can be told a conversation happened without getting access. In Reline, notes are private by default and a workspace role alone grants nothing, not even to an admin or owner, so keep HR notes in a private folder rather than a shared teamspace. On every plan, Reline logs the shares, renames, moves and restores of each note, but not who opened it or what changed in the transcript, and that log is not shown in the app. Anyone with Edit access can change or delete a transcript line without leaving a version or log entry, so give others view access. The Enterprise plan adds a workspace audit log of membership, settings and policy changes.

On AI training, Speakwise says it never trains AI on your data, Appraisd says its Notetaker does not use your data to train its models, and Fireflies' privacy policy says it does not use personal information for AI model training. Otter says it de-identifies user data before training its own models. Granola lets each user opt out of model training, and an Enterprise admin opt out the whole team. The Fellow pages we read do not say. Reline offers no EU data residency, and its AI providers are named in the DPA annex on request, so read that before you decide. Ask every vendor, us included, to put the answer in the contract.

Which HR meetings should you not record?

Littler suggests keeping AI note takers out of privileged meetings with lawyers, conversations among senior executives, and talks about protected health information in employee health plans. Some employers go further: Wright State University's IT guidance, for one, strongly discourages AI note-taking in performance evaluations and disciplinary matters. Check your own policy first. Here is how we would sort common HR meetings; it is our suggestion, not legal advice.

HR meetingRecord it?Why
Routine 1:1 or check-inYes, with notice, if your policy allowsLow stakes, and the note helps both sides follow up. Keep it private to you.
Performance reviewOnly if your policy allows, and a person writes the ratingLittler warns that AI errors in these decisions could disadvantage protected groups. Check every quote against the audio.
Disciplinary or grievance meetingAsk counsel and follow your written procedure firstLittler names discipline talks as confidential content, and some employer policies discourage recording them.
Investigation interviewOnly with notice and counsel's agreementA verbatim transcript can widen what is discoverable. Replay the line before the interviewee signs.
Meeting with counsel about legal adviceNoPrivilege: sending it to a vendor may raise a waiver question.
Health, leave or accommodation detailsNo, or pause for that partLittler names protected health information in employee health plans.
Senior leadership on restructuring or layoffsNo, unless counsel agreesLittler names conversations among senior executives.
The employee says noNo: take notes by handIf the reason is a disability, Littler says you may need another arrangement.

In Reline you can pause a recording when the talk turns to something you should not keep, then resume. Littler also notes that bans tend to fail because staff already use these tools, and that a tool the company picks, configures and controls may be the more realistic answer. Write down which meetings it covers.

Does the EU AI Act cover HR meeting notes?

Annex III, point 4 of the Act lists as high-risk AI used to make decisions on promotion or termination, to allocate tasks based on behaviour or personal traits, or to monitor and evaluate workers' performance and behaviour. The European Commission's AI Act page says those rules apply from December 2, 2027. Whether a tool that only transcribes and summarizes counts is unsettled; one that rates employees sits closer to the line. Ask counsel before you rely on any vendor's reading, ours included. This is not legal advice.

What is each tool like for HR?

Otter: if you already pay for it

Otter's notetaker joins Zoom, Teams and Meet from your calendar, and its desktop app for Mac and Windows records with no bot, in-person conversations included. Basic stops at 30 minutes per conversation, which is short for most HR meetings. Business is $19.99 per user a month on annual billing and adds activity logs; custom retention is an Enterprise admin setting, per Otter's blog. It states a SOC 2 Type 2 report.

Fireflies: auto-delete on Enterprise

Fireflies' Notetaker joins the call, and its desktop Take Notes mode adds no bot but saves no audio file, so there is nothing to replay. Pro is $10 per seat a month on annual billing and Business $19. Auto-delete policies, custom retention and HIPAA are on Enterprise only, at $39 per seat a month, billed annually.

Fellow: the most detailed retention controls

Fellow's Note Taker joins and posts a chat message, and its desktop app records with no bot on Mac and Windows, keeping the audio for replay. On Enterprise, admins set how many days recordings and AI notes are kept for the whole workspace, down to deletion right after processing; without that setting, its security page says stored recordings have no time limit. Team is $7 per user a month on annual billing and Enterprise $25. It states SOC 2 Type II and HIPAA.

Granola: no audio kept at all

Granola captures from your device with no bot and deletes audio after transcription on every plan. If your company prefers not to hold HR audio, that is a real advantage; the cost is that nobody can replay a disputed line. Each user can set transcript auto-delete and opt out of model training, and Enterprise sets both for the whole workspace. Business is $14 per user a month, Enterprise $35, and it states SOC 2 Type II.

Speakwise: in-person meetings on an iPhone

Speakwise is an iPhone app that records through the phone microphone with no bot, and its own HR roundup ranks it first. Audio stays on the phone until it syncs, and its site names the providers that transcribe it: fal.ai, ElevenLabs and Replicate. It says it never trains AI on your data, and you can delete a recording and its transcript at any time. Its HR post prices it from $69.99 a year. The pages we read give no retention period and describe no team controls.

Appraisd: performance reviews inside the review

Appraisd is a performance management platform, and its AI Notetaker works inside a review or check-in: on a call you share your computer audio, and in person you start it from your device. Only the employee, their manager and added reviewers can open the recording; HR can be told a conversation happened but gets no access by default, and participants can delete recordings at any time. Retention is set per organisation, and Appraisd says the Notetaker does not use your data to train its models. No price is listed, and it fits review meetings, not every HR conversation.

Reline: private by default, audio kept, no schedule

Reline records your microphone and system audio locally on Mac, Windows or Linux (beta), or in the browser, so no bot joins. You get a live transcript in 60+ languages, an AI summary and the kept audio, with a play button on every transcript line, so you can check a quote before it goes into a review. Capture is local; transcription, AI and storage run in the cloud.

Summaries cite nothing. Chat answers can cite a note or a moment. Notes are private by default: a workspace role alone grants nothing. Professional is $15 per seat a month ($12 annual). Free is 10 hours of transcription and 1 hour per recording. There is no connector to any HR system, so you export the note or paste it into your case file.

Who should not buy Reline for HR?

  • You need deletion on a schedule. Reline has none, so deletion is by hand. Fellow, Fireflies and Otter offer it on Enterprise, and Appraisd per organisation.
  • Your security review requires a SOC 2 report or a BAA, for example for health plan talks. Reline has neither; a DPA is available.
  • You need to see who opened a note or changed a transcript. Reline logs neither, and its per-note activity log is not shown in the app.
  • You need notes filed in your HR system or case tool automatically. Reline has no connector to any; you export or paste.
  • You need names in a meeting room. Everyone arrives through one microphone; labels are Me vs Other, plus beta voice numbering you name yourself.
  • You meet on a desk phone or a mobile. Reline only captures calls that play through the computer, and it has no mobile app.
  • You need to process past recordings. Reline transcribes live only, with no upload.
  • You need EU data residency, or a tool that sends the notice for you. Reline offers neither.
FAQ

Common questions

What is the best AI note taker for HR?
It depends on which risk matters most. Appraisd suits performance reviews run in its platform, Fellow Enterprise suits teams that need admin-set auto-delete, and Granola suits teams that want no stored audio. Reline suits a small team that wants audio to check quotes and notes private by default, at $15 a seat, with no auto-delete schedule. We make Reline.
Is it legal for HR to record employee meetings with an AI note taker?
Often, with notice and consent, but it depends on where everyone is. Littler counts about a dozen US states that require every party to agree, and in the EU you need a lawful basis under the GDPR. Tell the employee in writing before the meeting, ask again at the start, and stop if they say no. This is not legal advice.
Which HR meetings should not be recorded?
Littler suggests keeping AI note takers out of privileged meetings with lawyers, conversations among senior executives, and talks about protected health information in employee health plans. Some employers also discourage recording performance evaluations and disciplinary meetings. Check your own policy, and ask counsel before you record an investigation.
How long should HR keep AI meeting transcripts?
Littler suggests a short retention period with automatic deletion as the default, unless your schedule for related records says otherwise. Fellow, Fireflies and Otter offer admin-set retention on Enterprise. Reline has no auto-delete schedule, so you delete by hand; Delete permanently in the trash removes a note, its recordings and its transcript at once.
Can HR see every recording in an AI note taker?
Not always. Appraisd keeps review recordings to the employee, their manager and added reviewers, and HR gets no access by default. In Reline a workspace role alone grants nothing, so being an admin does not open a note. Check what each vendor allows by default before you roll it out.
Is there a free AI note taker for HR?
Yes, with limits. Reline Free is 10 hours of transcription and 1 hour per recording. Otter Basic gives 300 minutes a month with 30 minutes per conversation, Granola Basic keeps 30 days of history, Fellow Free gives 5 AI recordings per user, and Fireflies Free includes 400 minutes of storage.
