The best AI note taker for consultants keeps clients apart and works when clients block bots. Granola suits a SOC 2 review and Jamie hosting in Europe. Reline (we make it) records with no bot, keeps audio to check a quote and gives each client a private folder, at $15 a seat, with no SOC 2 report or CRM sync.
Which AI note taker should a consultant pick?
- Your clients' security questionnaires ask for SOC 2: Granola, Fireflies or Wispr, which state SOC 2 Type II.
- Your clients are in Europe and ask where their data goes: Jamie, whose security page says storage and processing take place in the EEA, Switzerland and the UK.
- Notes must land in your CRM: Fireflies, Jamie Pro or Granola Business; Scribbl logs to HubSpot or Pipedrive.
- You run workshops and site visits away from a desk: Plaud's recorders, or Jamie and Granola on a phone.
- You want no stored audio at all: Granola or Jamie, which do not keep it.
- A solo consultant or small firm that wants a private folder per client, the audio to check a quote and no bot on the client's call: Reline.
How do the 7 tools compare?

What do the consultant roundups agree on?
We read the consultant pages from Fireflies, Scribbl, Jamie, Wispr and Plaud. Each is written by a vendor about its own product: Fireflies, Scribbl, Jamie and Plaud each rank themselves first, Jamie's pros and cons lean on G2 reviews, and Wispr's page covers only its own tool. This page is vendor-written too, so check the sources. They agree on confidentiality, bot-free capture and output you can reuse in a deliverable. So we sorted the seven tools by four questions that decide a consultant's week:
- Can a subcontractor on one client open another client's notes?
- What does the client see on their own call, and who tells them it is being recorded?
- Can you record a workshop in a room from the laptop you already carry?
- Can you replay the audio before a quote goes into a deliverable?
Can you keep each client apart?
Fireflies' own consultant guide calls multi-client workspace separation non-negotiable, and the defaults differ more than the marketing does. Its privacy settings guide says a new meeting can be opened by everyone on your Fireflies team and by anyone with the link, and teammates see it in the list of all meetings even if they were not on the call. You can narrow that to participants or to yourself, for your account or one meeting at a time. Granola keeps notes private by default and says admins cannot see your individual notes. Scribbl keeps recordings private by default and can group meetings into a collection per client. Jamie's security page says only you can access your notes by default, and its Team plan adds a shared team workspace and tags.
In Reline, notes and folders are private by default on every plan: a workspace role alone grants nothing, not even to an admin or owner, so a person opens a client's notes only with an explicit grant. Give each client a folder. When a subcontractor joins one engagement, grant them that folder and nothing else, and remove the grant on their last day. Keep client folders out of open teamspaces, where every workspace Member gets edit access. Before the next call, ask a question in that client's folder: the chat draws only on that folder and its subfolders, and the Where We Left Off Lens recaps your last conversation there.
Should a bot join your client's call?
On a client's Zoom or Teams call, the client's settings decide, not yours: their admins and host choose whether a notetaker bot gets in, and some clients refuse bots outright. A recorder that runs on your own computer avoids that. Scribbl, Jamie, Wispr, Granola, Plaud Desktop and Reline add no bot, and Fireflies' desktop Take Notes mode adds none either, though it keeps no audio file.
No bot also means the client sees nothing, so the notice is on you. Reline puts no notice in the meeting. Several US states, California among them, require every party to agree before a call is recorded, and in the EU you need a lawful basis under the GDPR and should say why you record. Rules differ by country and state, so check the rules where everyone on the call is, and read your NDA and statement of work too. Tell the client in writing before the call, ask again at the start, and stop recording if anyone says no. Granola can add a watermark and a chat message on video calls. Reline has no such notice, but it publishes a participant notice page you can link to, at reline.so/participants.
Can you record a workshop in a room?
Workshops, steering committees and site visits happen in rooms, not on calls. Plaud is built for this, with a recorder you wear and one you put on the table; its own consulting post puts the tabletop Note Pro at group workshops. Jamie records in person from a laptop or a phone on every plan, Granola from its iPhone app, and Wispr suggests putting the laptop in the middle of the table. Fireflies has a mobile app, and its guide lists in-person conversations as a use for desktop Take Notes, which keeps no audio file. Scribbl's pages cover only Meet, Zoom and Teams.
Reline records a room through your laptop microphone on Mac, Windows or Linux (beta), or in the browser. It has no mobile app and no separate recorder. Everyone in the room reaches one microphone, so by default the whole room is labeled Me. A beta Shared mic option numbers the voices it hears and you name them yourself; it is an estimate, not proof of who spoke. Voices far from the laptop may come through less clearly. Free caps each recording at 1 hour, so a half-day workshop needs Professional.
Can you check a quote before it goes into a deliverable?
A line that reaches a client deck should match what the client said. Jamie and Granola delete audio once transcription is done, Wispr deletes it automatically after a limited period, and Fireflies' Take Notes mode saves none, so a disputed line has nothing behind it. If your clients prefer that you hold no audio, that is a real advantage. Fireflies with its Notetaker and Scribbl keep recordings; Scribbl gives no period on the pages we read.
Reline keeps the audio with the note until you delete it, with a play button on every transcript line, so you can hear the sentence before you quote it. Summaries cite nothing. Chat answers can cite a note or a moment. There is no auto-delete schedule, so when an engagement ends, deletion is by hand: Delete permanently in the trash removes a note, its recordings and its transcript at once, and anything left in the trash is deleted after 30 days. There is no way to delete only the audio and keep the transcript.
Do you need SOC 2 or EU hosting?
Fireflies' consultant guide treats SOC 2 Type II as the minimum for client work. Fireflies, Granola and Wispr state SOC 2 Type II, and Plaud shows a SOC 2 badge. Jamie says it is ISO 27001 certified with SOC 2 Type II pending. Scribbl's pages name no certification. On location, Jamie's security page says storage and processing take place in the EEA, Switzerland and the UK, and Granola's FAQ says its data is stored in the United States with no regional option.
Reline has no SOC 2 report. A DPA is available, Reline offers no EU data residency, and its AI providers are named in the DPA annex on request, so read that before you decide. If a client's questionnaire asks for a SOC 2 report, Reline will not pass it today.
What is each tool like for consultants?
Fireflies: CRM sync, with a bot by default
Fireflies' Notetaker joins the call and records; its desktop Take Notes mode adds no bot but saves no audio or video file. AI Skills can update HubSpot or Salesforce fields from Pro, which is $10 per seat a month on annual billing ($18 monthly); Business is $19 ($29). It states SOC 2 Type II and offers custom data retention on Enterprise. Check the sharing default before your first client call: your whole Fireflies team and anyone with the link can open a meeting unless you change it.
Scribbl: no bot, video kept, CRM logging
Scribbl runs as a Chrome extension on Google Meet and as a desktop app for Zoom and Teams on Mac (Apple silicon) and Windows, with no bot. Each meeting comes back with notes, a transcript and the video, and recordings are private by default. Pro logs notes to HubSpot or Pipedrive once you approve, at $13 per user a month on annual billing ($20 monthly); Free covers 10 meetings a month. Its pages do not mention in-person recording or a security certification.
Jamie: no bot, no stored audio, hosted in Europe
Jamie runs on Windows, macOS, iOS and the web, with no bot, and records in-person meetings from a laptop or a phone. Audio is streamed for transcription and never stored. Its security page says storage and processing take place in the EEA, Switzerland and the UK; it is ISO 27001 certified, with SOC 2 Type II pending. Pro is €39 a month billed annually and adds Salesforce, HubSpot, Attio, Pipedrive and Dynamics 365. Free covers 10 AI notes a month, up to 30 minutes each.
Wispr Notetaker: part of Wispr Flow
Wispr Notetaker comes with Wispr Flow, the dictation app. It records on your Mac or Windows computer with no bot, on Zoom, Meet, Teams and browser calls, and for a room it suggests putting the laptop in the middle of the table. Audio is deleted automatically after a limited period it does not state. Pro is $12 per user a month on annual billing ($15 monthly), and its pricing page states SOC 2 Type II and ISO 27001 on every plan. Notetaker is turned off on accounts with a BAA, and the pages we read mention no CRM.
Granola: private by default, nothing to replay
Granola captures from your device with no bot, keeps notes private by default and says admins cannot see your individual notes. It deletes audio after transcription on every plan, so nobody can replay a disputed line. Its iPhone app covers in-person meetings, and on video calls it can add a watermark and a chat message as notice. Business is $14 per user a month and adds HubSpot, Attio and Affinity; Salesforce is on Enterprise, at $35. It states SOC 2 Type II.
Plaud: recorders for on-site work
Plaud sells recording devices, among them the NotePin S worn on a lapel and the Note Pro for the table, and its own consulting post recommends them for on-site and group work. Plaud Desktop, in beta for Windows and macOS, captures online meetings with no bot. The free Starter plan includes 300 transcription minutes a month, and Pro 1,200. Its home page shows SOC 2, HIPAA, GDPR and EN 18031 badges. Device prices were not in the page text we could read, and its product pages returned errors to our reader, so check the price on Plaud's site.
Reline: a private folder per client, audio kept, no bot
Reline records your microphone and system audio locally on Mac, Windows or Linux (beta), or in the browser, so no bot joins the client's call. You get a live transcript in 60+ languages, an AI summary and the kept audio, with play on every transcript line. Capture is local; transcription, AI and storage run in the cloud.
Notes and folders are private by default, so one folder per client keeps each engagement apart, and Lenses such as Key Decisions Log, Action Items with Owners and Draft Follow-Up Email turn each call into the same sections. Professional is $15 per seat a month ($12 annual) with unlimited workspaces. Free is 10 hours of transcription and 1 hour per recording, in one workspace.
Who should not buy Reline?
- Your clients' security reviews ask for a SOC 2 report or a BAA. Reline has neither; a DPA is available. Fireflies, Granola and Wispr state SOC 2 Type II.
- You want meeting notes pushed into HubSpot, Salesforce or Pipedrive. Reline has no CRM sync. Fireflies, Jamie, Granola and Scribbl offer it on paid plans.
- You need deletion on a schedule. Reline has none, so deletion is by hand. Fireflies and Jamie offer custom retention on their top plans, and Granola lets each user set transcript auto-delete.
- You record on site without a laptop, or need proof of who spoke in a room. Reline has no mobile app or recorder, and room voices arrive through one microphone: the beta Shared mic option numbers voices you name yourself, an estimate, not proof of who spoke. Plaud, Jamie and Granola record from a device or a phone.
- You need to process recordings you already have. Reline transcribes live only, with no upload.
- You need EU data residency, video of the meeting, or a tool that sends the notice for you. Reline offers none of these.
Common questions
- What is the best AI note taker for consultants?
- It depends on what your clients ask for. Granola, Fireflies and Wispr state SOC 2 Type II, Jamie says it hosts data in Europe, and Plaud suits on-site work with a recorder. Reline suits a solo consultant or small firm that wants a private folder per client, no bot and the audio kept, at $15 a seat, with no SOC 2 report. We make Reline.
- Which AI note takers do not join the call as a bot?
- Scribbl, Jamie, Wispr Notetaker, Granola, Plaud Desktop and Reline record from your own computer, and Fireflies' desktop Take Notes mode adds no bot but keeps no audio file. With no bot the client sees nothing on the call, so tell them in writing first and ask again at the start.
- Can I keep each client's notes separate in an AI note taker?
- Yes, if the defaults allow it. Reline, Granola and Jamie keep notes private by default, and Scribbl keeps recordings private. In Fireflies, your whole team and anyone with the link can open a meeting by default, so change that first. In Reline, give each client a folder and grant a subcontractor only that folder.
- Which AI note taker works for in-person client workshops?
- Plaud is built for it, with recorders you wear or put on the table. Jamie records in person from a laptop or a phone, Granola from its iPhone app, and Wispr and Reline from a laptop microphone. In Reline the room shares one microphone: a beta Shared mic option numbers the voices for you to name, an estimate, not proof of who spoke. Free caps each recording at 1 hour.
- Do I need my client's consent to record with an AI note taker?
- Assume yes. Several US states require every party to agree, and in the EU you need a lawful basis under the GDPR. Your NDA or statement of work may add rules. Check the rules where everyone on the call is, tell the client in writing first, ask again at the start and stop if anyone says no. This is not legal advice.
- Is there a free AI note taker for consultants?
- Yes, with limits. Reline Free is 10 hours of transcription and 1 hour per recording. Scribbl Free covers 10 meetings a month, Jamie Free 10 AI notes a month of up to 30 minutes, Granola Basic keeps 30 days of history, Fireflies Free includes 400 minutes of storage, and Plaud's Starter plan gives 300 transcription minutes a month.
